Job Description
Assystem Energy & Infrastructure
are recruiting for a
Administrative Assistant
to work at our customers site in
Derby
on a contract basis.
The primary objective of the administrative assistant is to support the completion process by efficiently managing and organising construction-related documents. This includes scanning, filing, and ensuring accurate record-keeping.
Role details:
Job title: Administrative Assistant
Contract length: 9-12 Months
Location: Derby
Contract type: PAYE via Umbrella solution
Key responsibilities include but are not limited to:
Responsibilities:
Document Scanning and Filing:
Scan physical documents (such as lifetime quality records, O&M manuals and other documentation required for Completion) into digital formats.
Organise scanned files in a logical and easily accessible manner.
Data Entry and Record-Keeping:
Enter relevant data from documents Microsoft Excel spreadsheets.
Update completion status, deadlines, and other relevant information.
Ensure accuracy and consistency in data entry.
Communication and Coordination:
Collaborate with project managers, engineers, and other team members.
Communicate any discrepancies or missing information related to documents.
Coordinate with external stakeholders (vendors, subcontractors, etc.) as needed.
Quality Control:
Review scanned documents for legibility and completeness.
Identify any errors or inconsistencies and rectify them promptly.
Maintain high standards of quality in document management.
Requirements:
Proficiency in using office software (Microsoft Office, Sharepoint, etc.).
Supply IT equipment.
Would need to be site-based.
Strong organisational skills and attention to detail.
Ability to work independently and meet deadlines.
Familiarity with construction terminology and processes (preferred but not mandatory).
Experience working for Rolls Royce (preferred but not mandatory)
Reporting:
The administrative assistant will report directly to the Contracts Manager.
Qualifications
