As we continue to expand, we are seeking a detail-oriented and proactive Administrative Assistant to join our team and assist with invoicing and ledger management.
Responsibilities:
General Administrative Support:
Provide administrative support to various departments as needed.
Assist in organizing and maintaining files, records, and documents.
Handle incoming calls, emails, and correspondence in a professional manner.
Perform other administrative tasks as assigned by supervisors.
Invoicing
Generate and process invoices accurately and in a timely manner.
Verify billing data to ensure correctness and completeness.
Coordinate with various departments to gather necessary billing information.
Address any discrepancies or issues with invoices promptly.
Debtor and Creditor Ledger Management:
Maintain accurate records of accounts receivable and monitor outstanding balances.
Follow up with clients regarding overdue payments through email, phone calls, or other communication channels.
Work collaboratively with the finance team to resolve any payment discrepancies or disputes.
Prepare and distribute statements of accounts as needed.
Assist in managing accounts payable by processing vendor invoices and payments.
Verify and reconcile invoices with purchase orders and delivery receipts.
Monitor payment terms and deadlines to ensure timely payments to vendors.
Address any inquiries or issues related to vendor invoices and payments.
Requirements:
Proven experience as an Administrative Assistant, Accounts Assistant, or similar role.
Proficiency in using accounting software and MS Office Suite, particularly Excel.
Excellent attention to detail and accuracy in data entry and record-keeping.
Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
Excellent communication and interpersonal skills.
