Administrative Assistant – International Business Development
Location:Hybrid – One day per week in person at the London, UK office. Bracken House, 1 Friday Street, London EC4M 9BT.
The Opportunity:
As the Administrative Assistant for the International Business Development/Fundraising (IBD) team, you’ll report to and primarily support the Vice President of International Business Development. You’ll also assist the Director of Development for EMEA (approximately 35 to 40% of the role), and the local team in London.
Using your exceptional organizational and time management skills, and applying a proactive approach, you’ll ensure that the VP has the tools and information needed to seamlessly operate a high functioning, revenue generating department.
Additionally, you’ll coordinate meetings, plan international travel, and respond to inquiries. You’ll also assist with producing presentations and donor communications, along with other fundraising activities, and maintaining the donor database.

What You’ll Do:
Administrative and Leadership Support (60%)
Schedule meetings between the VP and Development Directors.
Create and maintain a calendar for education and training sessions.
Gather and organize materials for the annual planning process.
Assist with monitoring of fundraising performance across all markets using our donor management system.
Organize team meetings, including managing agendas and attendee lists and sending out post-meeting notes and follow-up items.
Support the Development Director of EMEA with regular UK Trustee and Advisory Board meetings.
Make travel arrangements for the VP, IBD and Development Director of EMEA, create and submit expense reports.
Act as point of contact for the London office and handle logistics.
Liaise with the other administrators within the Development and Communications and CEO teams, including serving as a backup when other administrative assistants are on leave.
Donor Communications and Fundraising Support (30%)
Read, review and respond to communications from external email inboxes.
Assist with fundraising activities such as adapting and creating mass marketing emails for events and targeted campaigns.
Support with donor proposals, reports, and presentations. This may include writing, editing, and/or creating external presentation decks and (light) designing materials on Adobe Creative Cloud or Canva.
Maintain relevant donor data in and generate and update information and reports from the Salesforce database.
Aid with events by tracking RSVPs, managing attendee check-ins, and drafting donor communications for thank-a-thons.
UK Accounts Receivable and Europe Procurement Support (10%)
Manage the purchasing process in the UK with purchase order system and access UK bank account to set up payments within agreed delegation levels, working with the UK Trustees.
Review and file supplier invoices and expenditure reports.
Partner with UK accountant to enable smooth and timely vendor payment on accounts.
Additional
Support a culture of celebrating birthdays, anniversaries, and notable holidays.
Other needs as they arise.
What You’ll Bring
Required:
2 to 3 years of administrative support experience, preferably with directors or above.
Ability to compose and edit emails and presentations,
Proven expertise in all aspects of meeting management.
Customer service mindset and excellent interpersonal skills.
Highly organized with excellent attention to detail.
Demonstrated experience in MS Office, Word, Excel and PowerPoint.
Ability to juggle multiple priorities simultaneously, take initiative and meet deadlines.
Preferred:
Bachelor’s degree
Familiarity with Adobe Creative Cloud or Canva
Experience working with fundraising databases (Salesforce preferred)
Experience living or working abroad
Compensation:
The salary range for this role is GBP 29,979 to GBP 35,397. Compensation may vary depending on several factors including, but not limited to, experience, skill set, and relevant education or certifications.
