Spire Cambridge Lea Hospital are recruiting for an experienced Administration Manager to join their established team. This will be on a permanent contract working full time hours. The purpose of this role is to be responsible for providing clear professional leadership of administration, ensuring efficient and robust processes exist to support the requirements of service users. Working closely with senior management team and Heads of Department to help deliver short- and long-term business achievement within the hospital contributing to the hospital's overall success.
Duties & Responsibilities:
Provide clear leadership in the operation and delivery of all administration functions which includes Reception Teams, Outpatient Bookings, Inpatient Bookings, NHS, Ward Reception, Medical Records, Radiology Administration, Outpatient Physiotherapy Administration, Medical Secretaries, ensuring they perform to the required commercial, corporate, and professional standards.
Preparing annual budgets for administration departments, regularly monitoring performance, and taking appropriate action to meet financial targets.
Positively influence change and support the implementation of new projects and associated processes.
Developing strong and effective communication channels throughout administration departments by holding regular team meetings and promoting the correct Spire behaviours.
To be ultimately responsible for the personnel management of the administration teams, including recruitment, training, sickness recording, annual leave, health and safety and performance management including compliance with DES assessments and manual handling requirements.
Actively promote ongoing personal development within teams to ensure we have a skilled workforce who are up to date with any changes relating to their individual roles.
Establishing and maintaining a comprehensive whole organisational approach to improving customer service, including setting standards, benchmarking, and agreeing action plans with Team Leaders.
Constantly review performance of the administration services based on feedback received from customers, including consultants, and developing action plans for ongoing continuous improvement.
Where appropriate, leading on the investigation and response to formal complaints, including the reporting of adverse events.
Sharing best practice with other hospitals creating and supporting network opportunities as identified.
Provide and receive patient information, ensuring that all patient information is provided, received, and recorded in accordance with the Data Protection Act and Spire policies.
Responsible for the safe management of waste in accordance with the Spire Waste Management Policy.
Carry out any other duty that reasonably falls within the general nature and level of responsibility of the post.
What we are looking for:
Track record of successful people and process management, ideally in a multi-functional environment
Previous experience working in the healthcare industry or a similar customer orientated organisation.
Excellent interpersonal, communication and presentation skills, including listening and facilitation skills.
Ability to build relationships with all customer groups.
Ability to work with complex patient and finance administration systems and telephony systems.
Demonstrated ability in people management to deliver a plan of activity through direct reports.
Highly literate and numerate with strong analytical ability.
Commercially astute with a passion for customer service
Ability to influence diverse sets of audiences.
IT literate and a competent user of the MS Office suite of products
Results driven, high levels of determination and initiative.
Proactive and able to self-motivate.
