Job overview
This is an exciting opportunity for a highly skilled enthusiastic Administrator to develop Management skills. We are looking for someone to manage the Administrative team, and the systems in the Complex Depression and Anxiety Service (CDAT).
This is a newly created role and it is expected that as the organisation develops and changes, it may be necessary to vary the tasks and/or the responsibilities of the post holder. This will be done in consultation with the post holder and it is hoped that agreement can be reached to any reasonable changes.
All Trust employees are accountable, through the terms and conditions of their employment, professional regulations, clinical governance and statutory health and safety regulations, and are responsible for reporting incidents, being aware of the risk management strategy and emergency procedures and attendance at training as required.
All managers throughout the organisation have a responsibility to ensure that policies and procedures are followed, that staff receive appropriate training, that a local risk register is developed and monitored on a quarterly basis and any changes reported to the Clinical Governance Committee and Risk and Assurance Committee

Main duties of the job
We are the Camden and Islington Services for Complex Depression and Anxiety Service, providing high quality assessment, treatment and support services for adults with mood disorders, based in the London Boroughs of Camden and Islington, provided by the Camden & Islington NHS Foundation Trust.
We are passionate about supporting adults, affected mood disorders and their carers and value the important role of our administration colleagues in our care pathways.
We are seeking to recruit an administration manager who is enthusiastic and motivated to help us deliver excellent mental health and care in the community.
As the administration manager, you will be responsible for the overall management, development and implementation of high-quality administration to the clinical services of CDAT. This requires you have highly developed prioritisation and organisational skills.
You will manage a team of administrators which requires you to have good communication skills and the ability to install a culture of continuous development. Previous experience in people management will be helpful.

Detailed job description and main responsibilities
CDAT offers treatment for a range of psychological problems, including anxiety and depression. The main hub is based at St Pancreas. The service is for all adults registered with a Camden and Islington GP.
All staff employed or seconded directly to Camden & Islington Foundation Trust regardless of the band or clinical grade will be required to work within the clinical and operational structures. The job description reflects the generic level of core competencies, skills and experience required to undertake the duties that are consummate to the band or grade.
JOB SUMMARY
The post holder will have responsibility for the overall management, development and implementation of high quality administration and site support services for CDAT including the maintenance of the Trust information management systems. He/she will have responsibility for ensuring the continued operational management of a team of administrative staff and will oversee the administrative services budget for the site.
The post holder will also take local responsibility (as the sites nominated health and safety co-ordinator) on a range of areas including the assessment and management of non-clinical risk, security and fire. The post holder will provide an effective and efficient secretarial and administrative service within one of the service lines that form the Foundation Trust.
The postholder will need to demonstrate a high level of prioritising and organisational skills and be able to use initiative to develop office support systems as required, and to organise their own workload to meet Trust and local requirements, adjusting priorities as necessary in negotiation with the department and administration managers.
The job will involve liaison between colleagues at all levels, both inside and outside the Trust, as well as with service users and carers.
The postholder will be expected to identify threats to the service offered to service users or to the Trust and to contribute to improving systems and processes.
All administrative staff are expected to support the reception function by providing excellent customer service at all times.

Education/Qualifications
Essential criteria
Word processing, powerpoint, outlook & excel qualifications (ECDL) or equivalent experience
Educated to Degree Level or equivalent proven level of knowledge or experience within administration management
Interest in continuing professional development
Experience
Essential criteria
Experience in liaising with a range of internal and external stakeholders
Experience of Carenotes and Local Authority data structures and data collection methods.
Significant experience in office administration
Experience in preparing agendas, report writing and taking minutes
Significant experience of working with databases, spreadsheets, graphs, charts and statistics
Desirable criteria
Expert use of advanced Microsoft Office Products and Project Management tools.
