What started as a range of fine art giclée prints, has expanded into a highly desirable collection of home accessories, games, stationery and gifts wholesaling to leading shops and museums across the UK and USA. Position Summary:We have an exciting opportunity for an Operations & Accounting Administrator to join our growing business. The successful candidate will work directly with the Finance & Operations Manager to support the day to day running of the business including order processing & order tracking, daily bookkeeping, credit control, stock management, customer service and general office administration. The successful candidate must be a strategic thinker, have exceptional attention to detail, and will be energised by working in an evolving startup culture.
Duties/Responsibilities: Order Processing & Customer ServiceEnter all orders received from customers with urgency and accuracy into Shopify, Xero and internal tracking systems.Submit orders to UK & USA fulfilment centres daily Maintain awareness of inventory position on all SKUs.Monitor list of open sales orders to ensure prompt fulfilmentProvide customer service to wholesale customers.Generate invoices in Xero; charge credit cards as requiredAccurately receive and reconcile customer payments in Xero.Credit control: chase overdue payments by telephone and emailEnter bills from vendors into Xero; code to correct accounts and tracking categories.Accurately input new customer details into Xero and perform credit checks where required.Ensure compliance with tax regulations and assist in the preparation of tax returns.Process expense reports and daily bank reconciliation of accounts.Manage invoice queries that occur ensuring all issues are resolved.Review A/R and A/P on a weekly basis. Assist with generating cashflow reports and meet regularly with the team to discuss status. Administrative SupportOrganise shipment of product samples to sales representatives and retailers from office & fulfilment centresOrganise physical catalogue mailing to customers.Update stock levels on e-commerce sites & B2B sites weekly; mark products out of stock and update availability dates as necessary.Support Finance & Operations Manager in database management, custom reporting, special projects, and other tasks as assigned. The successful candidate will:Have strong financial awareness and excellent numeracy skills with demonstrable evidence of financial administration.Have great interpersonal skills and be able to quickly build credible, professional relationships with customers and suppliers.Communicate in a clear, consistent, and effective manner. Must be incredibly responsive when contacted via Slack, Email etc. Be able to self-manage and work independently, as well as part of a small team.Demonstrate efficient time management practices with the ability to prioritise workload effectively. Be proactive and process driven and have an excellent attention to detail.Be passionate about wanting to make a difference to the businesses and always willing to learn and helpHave experience using Xero or comparable accounting softwareBe proficient in Microsoft Excel and Google-Suite Apps Education & Experience:The successful candidate will have a minimum of 2 years experience working in a Finance department / bookkeeping, financial administration and / or credit control role preferably in a wholesale / manufacturing business. Please Note: This is primarily an office-based position located in Bath with a requirement to work in the office at least x3 days per week.
