We are seeking a detail-oriented and proactive Project Administrator to support our project delivery team. This role is based at our office in Almondvale Business Park, Livingston but a hybrid working model is available. This role is pivotal in maintaining accurate project records, coordinating documentation, and ensuring timely data updates across key platforms such as Smartsheet and our internal Document Management System.
Key Responsibilities:
* Collate and upload monthly labour and waste figures to client portal.
* Gather and update monthly data sets in relevant Trackers, including:
* Good News updates
* Benefits
* People updates
* Lessons Learned
* Ensure all project records and trackers on Smartsheet are up to date.
* Prepare and issue site folders for all new schemes.
* Upload all completion photos / documentation in Dome.
* Request and follow up on O&M and SKA documentation from suppliers and subcontractors.
* Download and save drawing revisions from architects to Deltek.
* Update and maintain drawing register.
* Accurately record all schemes to the appropriate Trackers.
* Assist with arranging site security access for survey attendees.
About You:
* Strong administrative and organisational skills.
* IT literacy and proficiency in Microsoft Office
* High attention to detail with a commitment to data accuracy.
* Ability to manage multiple tasks and deadlines simultaneously.
* Excellent communication and interpersonal skills.
* Experience in a construction, or project-based environment is desirable.
