Personal Assistant
We are seeking an experienced Personal Assistant with a proven track record of supporting at Board level. This role requires a proactive, confident, and highly capable individual who is aware, responsive, and able to get stuck in from day one. You will provide seamless and trusted support to the Managing Director (MD), with additional assistance to other Board Directors as required. The role involves managing both professional and personal aspects of the MD's daily schedule, travel, deadlines, and executive responsibilities. Trust and confidentiality are at the core of this position, as you'll handle privileged and highly sensitive information so demands the highest level of absolute discretion.
What you'll be doing:
Diary Management
Coordinate and manage the MD's calendar, balancing multiple stakeholders and priorities.
Plan meetings, appointments, and engagements to maximise productivity.Event Management
Organise internal and external events aligned with the MD's schedule.
Manage event logistics, agendas, and communications.
Board Meeting Coordination
Develop and maintain the annual Board calendar, including meeting schedules, agenda planning, and tracking deadlines.
Provide timely reminders and follow-up on action items for contributors.
Collate and prepare presentation materials and pre-read packs.
Record and circulate meeting actions, and follow up on completion ahead of future meetings.Travel Management
Arrange domestic and international travel and accommodation for the MD and Board Directors as required.
Ensure cost-effective, efficient, and seamless travel coordination.
Confidentiality and Trust
Uphold the highest levels of discretion, integrity, and confidentiality in all matters.
Build trusted relationships across the business, acting as a reliable, professional, and composed representative of the MD's office.These are just the core responsibilities - as you'll be part of a collaborative, fast-moving team, your role will naturally grow and adapt as you settle in and become a trusted part of the business.

We're looking for someone who brings a great mix of experience, confidence, and initiative. You'll need to be proactive, highly organised, and able to work independently with minimal guidance.
You'll also need to bring:
Proven experience supporting at Board level, ideally in a fast-paced environment
A high level of professionalism, discretion and confidentiality - someone who can be trusted with sensitive information.
Strong situational awareness and the ability to take initiative without being prompted
Excellent attention to detail and pride in the quality of your work
Great communication and organisational skills, with the ability to manage multiple priorities at once
Proficiency in Microsoft Office, especially Outlook, PowerPoint, Excel and Word.You'll be confident under pressure, able to problem-solve on the fly, and resilient when things get busy. You'll also need to be comfortable engaging with senior stakeholders, resolving conflicts diplomatically, and using your influencing skills to get things done.
