About The Role:

We are seeking an experienced Costing & Variations Coordinator to support the delivery of lifecycle projects, contract variations, and capital works across multiple contracts. This role is critical in managing subcontractor engagement, identifying opportunities for profit improvement, and ensuring full compliance with contractual and statutory requirements.

As a key member of the senior Project Management Team, you will help drive project efficiency and financial performance. You’ll be responsible for planning and implementing lifecycle programs, minor works, and major projects—always with a strong emphasis on value for money and cost-effectiveness.

You'll collaborate with internal teams, external contractors, and clients while ensuring all project activities align with GFM policies and ISO 9001 / 14001 standards.

Key Responsibilities:

* Maintain and update lifecycle programs, ensuring all procurement processes are auditable and demonstrate value for money

* Manage a vetted list of approved contractors; oversee compliant, auditable tendering processes

* Support bid preparation and submission for new contracts

* Develop and maintain comprehensive asset and lifecycle plans, including detailed surveys and documentation

* Review all subcontractor deliverables before client submission to ensure accuracy and compliance

* Ensure all legal and contractual documentation is in place for project works

* Maintain accurate, up-to-date project documentation (e.g., drawings, room data sheets)

* Understand GFM pricing models and contractual margins across lifecycle, new works, and damage repairs

* Monitor lifecycle budgets and ensure adherence to financial targets

* Deliver annual and five-year lifecycle plans in line with contractual commitments

* Coordinate with Accounts to ensure accurate and timely recharges

* Support remedial actions when lifecycle or project risks are identified

* Prepare monthly reports on activities, risks, and project performance

* Respond to internal and external queries in a timely, professional manner

* Provide analytical support for proposals, tenders, and contract negotiations

* Ensure timely documentation for invoicing and recharging processes

* Track and record changes to PPM requirements and associated costs

* Promote a culture of safety, quality, integrity, and continuous improvement

About You:

* Proven experience in costing, estimating, or commercial support roles within construction, FM, or PFI environments

* Strong background in managing variations, lifecycle works, and small projects

* Skilled in reviewing contractor quotes, validating against contract terms, and ensuring compliance

* Effective communicator and collaborator, able to work across operational, commercial, and project teams

* Adaptive and responsive to evolving specifications, with a focus on delivering accurate, compliant proposals

* Strong negotiation skills, with a commercial mindset and focus on protecting company interests

* Results-oriented with a track record of improving project performance and managing risk

* High level of integrity and accountability, with a commitment to excellence and compliance

* Willingness to travel and collaborate across multiple sites, with occasional international coordination
