Job Title: Administrative assistant – Wakefield CouncilLocation: Wakefield Families Together Cluster AreasSalary: £15.66Contract: Full time (Temp 3 months with possible extension)Wakefield Council is seeking a highly organised Administrative Assistant to support our Locality Safeguarding Teams and Family Time Contact Centre. This vital role helps ensure our front-line professionals can effectively support children, young people, and families.
You’ll provide a range of admin support including minute taking at multi-agency meetings, managing reception and telephone enquiries, booking rooms, updating social care systems, and handling financial tasks. Accuracy and attention to detail are critical, as much of the work must meet statutory deadlines.
You must have strong customer service and communication skills and be comfortable working both independently and as part of a team. As this role involves handling highly sensitive and emotive information, a strong understanding of confidentiality and data protection is essential.
About the RoleAs a key member of our Business Support team, you will:
- Deliver high-quality administrative support to safeguarding and family time services
- Coordinate meetings, take accurate minutes, manage shared inboxes and bookings
- Act as a first point of contact for staff, partners, and service users, offering guidance and promoting access to services
- Organise venues and logistics for family time sessions and integrated meetings
- Assist in financial administration tasks including invoice processing and petty cash
- Support the smooth running of IT, communication systems and hybrid meeting equipment
- Work with confidential and sensitive information, applying policies and procedures around data protection and safeguarding
What We’re Looking ForYou will need:
Essential:- 4 GCSEs at grade C/5 or above including Maths and English or equivalent qualifications/experience
- Strong IT skills (Microsoft Office, Teams/Zoom, email, hybrid meeting tools)
- Proven experience in administration, customer service, and communicating with a wide range of people
- Confidence taking accurate minutes at meetings
- Understanding of confidentiality, safeguarding, and data protection practices
- Excellent organisation, time management, and ability to work independently
Desirable:- NVQ Level 3 in Business Administration or equivalent
- Recognised Customer Service qualification
- Experience in local government or children’s services
- Familiarity with Council policies and customer care standards
