The Office Manager will oversee the daily administrative operations of the office, including coordinating office activities, managing supplies, handling administrative support, and ensuring office efficiency. In addition to office management responsibilities you will also support our chair as their dedicated PA working on a range of personal and professional executive assistant tasks.
Office Manager & PA to Chair Key Responsibilities:- Diary management
- UK and international personal and professional travel, accommodation and expenses
- Plan and execute company meetings, events, and training sessions.
- Oversee and coordinate various functions within the business, including finance, HR, marketing, supplier contracts/negotiation, sales KPI, health and safety, reporting, and IT management
- Manage financial activities, including budgeting, forecasting, and financial reporting, bookkeeping, creditor management, debtor management, cash flow management and bank reconciliation, supporting month-end and year-end close processes
- Assist with recruitment processes, including scheduling interviews, manage the onboarding of new employees
- Negotiate and manage supplier contracts to ensure favourable terms and optimal relationships, act as liaison with vendors, service providers,
- Develop and implement sales KPI reporting systems to track performance and drive improvements, collation of management information, P&L and sales reporting
- Oversee the management, repair and renewal of office equipment, IT management, ensuring efficiency, security, and compliance with best practices.
- Support the Sales Support team with holiday cover in all aspects of day-to-day tasks from office management to supporting with our meeting room business, Flexible Meetings
- Manage projects and deliver to all deadlines.
- Problem solve, be able to spot issues and create a plan to rectify them.
- Communicate ideas and business initiatives to the team to ensure the sharing of best practice and maximisation of sales and business growth.
Skills, Qualifications and Key Attributes- Proven experience in a similar role, with a track record of success in managing multiple functions within a dynamic organization.
- A strong working knowledge of Xero or similar finance system
- Ability to handle multiple tasks and work under pressure
- Excellent attention to detail and accuracy
- Problem-solving skills and initiative
- Experience of management of multiple diaries, scheduling travel and accommodation
- Excellent communication and interpersonal skills, with the ability to collaborate effectively across teams and levels of the organization.
- Strategic mindset with the ability to think creatively and drive innovative solutions.
- Exceptional organizational and time management skills, with the ability to prioritize and manage competing priorities effectively.
