To work alongside the Estate Manager and wider team with all aspects of the diverse property
portfolio to form part of the Estate office team and help deliver an efficient, dynamic and
friendly business environment.
The Estate: Farndale Estate is a 4,300-acre upland rural sporting Estate located in the NYMNPA, owned by a private family, and includes let farms, let residential, woodland, sporting, hospitality, and holiday cottages. Bransdale Moor is 15,800 acres of recently leased grouse moor. We are a progressive and vibrant property Estate business, committed to investing in, protecting, and enhancing the natural, cultural, built, and economic environment.
The successful candidate will ideally have the following key responsibilities and attributes:
Provide office administrative support to all departments of the Estate.
Assistance in managing the Estates’ Landmark Key Prime database/terrier system.
Cash management, including arranging payments, banking, and preparing paperwork for our bookkeeper for VAT returns and monthly reporting.
Liaising with tenants, staff and holiday cottage guests debtors/creditors and contractors, on a day-to-day basis;
Compliance with all policies and procedures and data protection legislation;
Assisting family members with their personal affairs when required;
Any other reasonable duties as required by the Estate Manager or Family, including property management;
Liaising with Payroll providers;
Maintaining staff records, including monitoring holidays And other Benefits.
Dealing with and maintaining records of property repairs/utility contracts/Health & Safety/stationery/vehicle fleet management and insurance using in-house systems;
Organising hospitality for Events
Provide information, postal, photocopying, telephony and filing services;
Recording minutes of meetings;
Deliver an efficient, professional, friendly and helpful reception service, including providing refreshments for visitors/meetings
To be professional, co-operative and flexible within the needs of the post and to exercise discretion and confidentiality at all times.
As required occasional weekend cover for emergency calls would be required
The candidate would ideally have some working knowledge in looking after a diverse estate/property company. An affinity to the countryside and experience in rural estate matters would be preferable;
Due to the size of the Estate and its complexity, an organised approach to the administration function is a necessity;
A keen eye for detail;
IT literate and ideally a working knowledge of Landmark Key Prime accounts and property software or similar;
Full, clean driving licence.
Proficient in basic skills such as typing, spelling, grammar, punctuation and have an expertise in the use of common software applications such as Microsoft Office (Word, Excel, Outlook) in order to effectively produce and edit business documents and correspondence;
Able to demonstrate excellent inter-personal skills being able to communicate on all level.
Enthusiastic, self-motivated, flexible and able to work on his/her own initiative; and
